EVENTS COORDINATOR

Stellenbosch:
Our client, a prestigious wine estate in the Cape Winelands, is seeking a professional, organised and energetic Events Coordinator to join their  team. This is a hands-on role suited to someone with previous events, weddings, banqueting or hospitality experience who enjoys working with people, takes ownership of the detail and is comfortable working in a fast-paced environment.
                                                                                                 

PURPOSE OF THE ROLE

To coordinate the planning and operational execution of weddings, functions and events, ensuring that client requirements, event logistics and operational details are accurately managed to support a seamless event and exceptional guest experience.

KEY RESPONSIBILITIES

  • Coordinating the planning and operational execution of weddings, functions and events
  • Conducting introductory venue site visits for walk-in clients when required
  • Liaising professionally with clients, wedding coordinators, photographers and external service providers
  • Managing event calendars, Dineplan bookings, client folders and function sheets
  • Coordinating event logistics including venue setup, parking, transport, food and beverage, AV and breakdown
  • Briefing service providers in accordance with SOPs and specific event requirements
  • Coordinating glassware deliveries and collections and ensuring quantities are accurate
  • Conducting venue and operational checks before and after functions
  • Ensuring cleaning, maintenance, setup and breakdown requirements are completed to the required standards
  • Working closely with the Banqueting, Restaurant, Maintenance and Cleaning teams to ensure seamless event execution
  • Maintaining accurate and up-to-date information on upcoming events
  • Participating in weekly departmental meetings and providing relevant event updates
  • Identifying and communicating any operational issues or requirements relating to upcoming events
  • Providing general administrative and operational support to the Banqueting & Events function as required

CANDIDATE CRITERIA

  • Previous experience in events, weddings, banqueting or hospitality
  • Experience within a hotel, wine estate, restaurant, events venue or similar hospitality environment would be advantageous
  • Excellent organisational and administrative skills
  • Strong communication and interpersonal skills
  • Professional, confident and client-focused approach
  • Excellent attention to detail with the ability to multitask and manage competing priorities
  • Ability to work independently and take ownership of assigned responsibilities
  • Calm, practical and solutions-focused approach when working under pressure
  • Strong computer literacy and general administrative skills
  • Ability to communicate effectively with clients, colleagues and external service providers
  • A genuine passion for hospitality, events and creating memorable guest experiences
  • Flexible to work evenings, weekends and public holidays when required
  • Own reliable transport would be advantageous due to the location and nature of the role
