Minimum requirements:
  • Matric/Grade 12 certificate.
  • 1-2 years of experience in a legal secretary or administrative support role (Legal).
  • Basic knowledge of Case Lines and Court Online (advantageous, but training will be provided).
  • Proficiency in Microsoft Office (Word, Excel, Outlook).
  • Excellent written and verbal communication skills.
  • Strong organizational skills with attention to detail and accuracy.
  • Ability to manage multiple tasks and prioritize in a fast-paced environment.
  • Own reliable transport and a valid driver’s license.
  • Professional demeanour with a proactive, can-do attitude.
  • Willingness to learn and grow within the legal field.
Duties and responsibilities (Not limited to):
  • Providing direct assistance to the legal practitioners and candidate legal practitioners where necessary.
  • Organising and maintaining all legal documents kept on site and immediately bringing the aforementioned documents to the attention of the relevant legal practitioner or candidate legal practitioner when answering or serving on the firm.
  • Dictating the legal practitioner's and candidate legal practitioner's audio files and written notes on a daily basis, printing the same and bringing it to the legal practitioner or candidate legal practitioner.
  • Transcribing and proofreading legal documents and letters after typing.
  • Send emails to different recipients at the direction of the legal practitioner or candidate legal practitioner, and make sure that the correct email addresses are properly noted and that there is always a delivery receipt.
  • Photocopying, scanning and faxing, especially at the direction of the legal practitioner or candidate legal practitioner, as well as collecting and dividing all printed documents from the printer.
  • Manage records, projects, and calendars to make sure everything functions smoothly, and that diary dates match this.
  • Preparing court statements and forms when requested.
  • Additionally, all files are to be kept neat, and the contents of which are to be in reverse chronological order (in date order from old to new).
  • Indexing, paginating and updating pleadings, notices,
    pre-trial, interlocutory, and discovery bundles, as well as stapling or punching holes in documents so that all files are up to date at all times.
  • Basic knowledge of the Case Lines and Court Online system so as to convert and upload (file) legal documents at the direction of the legal practitioner or candidate legal practitioner. (Skill would also be developed during employment).
  • Taking and distributing messages (received telephonically).
  • Reviewing files and records to answer requests for information by a legal practitioner, candidate legal practitioner, or client (at the legal practitioner or candidate legal practitioner's direction) and to revert back to the practitioner.
