A leading pet food manufacturing company with a keen interest in the companion animal industry is seeking the above to provide efficient administrative and system support to the SHEQ department by managing requisitions, document control, record-keeping, and supplier liaison, while ensuring full compliance with Quality Control, HACCP, GMP, and company procedures.

Minimum requirements for the role:
  • Must have a National Certificate or Diploma in Administration, Food Technology, Quality Management, or related field
  • Minimum 1–2 years’ experience in administration, document control, or quality support, preferably in a manufacturing, food, or feed environment
  • Proven proficiency in Microsoft Office (especially Word, Excel, and Outlook)
  • Experience using Syspro or any similar ERP system is highly advantageous
  • Strong attention to detail, excellent organisational skills, and the ability to manage multiple tasks accurately in a fast-paced environment

The successful candidate will be responsible for:

  • Accurately processing, tracking, and managing all SHEQ-related requisitions and purchase orders in Syspro (or equivalent ERP system).
  • Liaising with suppliers on orders, delivery schedules, pricing, and queries to ensure timely availability of materials and services.
  • Preparing, verifying, and filing Goods Received Notes (GRNs) and related documentation for all incoming goods.
  • Maintaining the master document control system, ensuring all quality, HACCP, GMP, and SHEQ records are current, correctly versioned, approved, and easily retrievable.
  • Supporting the implementation, maintenance, and continuous improvement of Quality Management, HACCP, and GMP systems.
  • Conducting and documenting routine inspections, sampling, internal audits, and verification activities to confirm process and product compliance.
  • Assisting with the coordination and delivery of quality-related training and awareness sessions for staff.
  • Logging, tracking, and following up on non-conformances, corrective and preventive actions (CAPA), and process improvement initiatives.
  • Collaborating closely with Production, Procurement, and Quality teams to uphold product integrity, food safety, and regulatory standards.
  • Generating reports, maintaining accurate records, and providing administrative support for SHEQ meetings, audits, and certifications.
