We are in the market for a Project Coordinator who will be responsible for providing end-to-end governance, coordination, and administrative support across complex programmes and projects within a structured PMO environment.
This role is critical in ensuring strict adherence to project governance frameworks, audit readiness, reporting accuracy, and execution discipline, enabling Project and Programme Managers to focus on strategic delivery and stakeholder management.
The role requires a highly detail-oriented, process-driven individual capable of operating within high-pressure, multi-project environments with strong governance and compliance requirements.
Key Responsibilities
- Coordinate and manage all PMO governance activities, including scheduling and running recurring forums (War Rooms, operational reviews, and Steering Committees), taking minutes, tracking actions, and ensuring closure.
- Maintain and control all governance artefacts, including RAID registers, decision logs, action trackers, and escalation paths, ensuring accuracy and traceability.
- Prepare and quality-check all reporting packs (weekly, bi-weekly, monthly), including executive-level presentations, dashboards, and supporting documentation.
- Manage document control processes, including SharePoint administration, version control, naming conventions, approvals, and audit trails.
- Ensure full compliance with governance, audit, and regulatory requirements, including proper filing of financial and procurement-related artefacts.
- Coordinate stakeholder engagement logistics, including meeting scheduling, agenda circulation, document distribution, and vendor coordination.
- Support financial and resource administration, including budget tracking, timesheets, resource allocation, and procurement tracking.
- Assist with change management and training coordination, including communication distribution, attendance tracking, and feedback consolidation.
- Perform quality assurance on all deliverables to ensure completeness, consistency, and readiness for governance reviews and approvals.
- Track project schedules, milestones, and deliverables, ensuring timely updates and alignment across all reporting structures.
- Support audit readiness by maintaining well-structured, complete, and compliant project repositories.
- Facilitate continuous improvement through lessons learnt tracking and process optimisation.
Minimum Requirements
- Diploma or Degree in Project Management, Business Administration, or a related field.
- Certification in CAPM or PRINCE2 Foundation is preferred.
- Minimum 3–5 years’ experience as a Project Coordinator or PMO Coordinator.
- Proven experience in large, complex programme or portfolio environments.
- Experience working within highly governed, audit-driven environments (e.g., SOEs, regulated industries) is highly advantageous.
- Exposure to multi-vendor and multi-project environments is preferred.\
Technical Competencies
- Strong PMO governance knowledge (RAID, reporting, gate reviews, compliance frameworks)
- Advanced proficiency in:
- Microsoft Excel (pivot tables, lookups, data tracking)
- PowerPoint (executive-level reporting packs)
- Word (structured minutes and documentation)
- SharePoint (document management, permissions, versioning)
- Microsoft Teams (meeting coordination and recordings)
- Basic data analysis and reporting capability (Power BI exposure advantageous)
- Strong document control and audit compliance capability
