Brief Description 
Our client within the Mining and Equipment industry located in Brooklyn is looking for an office administrator/bookkeeper to join their team as soon as possible
Minimum requirements:
Financial Duties Include (But Not Limited To):
  • Maintain and ensure accurate and up-to-date financial records are maintained.
  • Record daily financial transactions, including purchases, expenses, receipts, and sales.
  • Assist in the preparation of financial statements such as balance sheet and income statements.
  • Analyse financial data to provide insights for future financial planning.
  • Assist senior accountant (external) in the preparation of monthly management accounts and collaborating with independent auditors to compile the annual financial statements.
  • Debtors – Assist with customers and quotations where required, process invoices and reconcile and send out customer statements.
  • Creditors – Managing suppliers, issuing of purchase orders, placing orders with suppliers, processing of supplier invoices, account reconciliations and filling in, compiling supporting documents and submitting credit applications to suppliers.
  • Daily capturing and reconciliation of bank statements.
  • Imports – Detailed costing of import shipments within the ERP system and reconciliation of customs VAT.
  • Inventory – Management of physical inventory as well as on the system and ensure monthly stock takes take place and inventory is maintained and kept accurate.
  • Exports – Prepare the necessary documents for export shipments and liaising with freight forwards for customers clearance and export requirements.
  • Maintaining staff files and contracts.
  • Assist with monthly payroll preparation as well as leave management.
 
Office Administration Duties Include (But Not Limited To): 
  • Front desk customer service, including answering phones.
  • Manage schedules for appointments and deadlines.
  • Assist with agendas, travel arrangements, appointments etc.
  • Carrying out clerical duties such as answering phone calls, responding to emails, and preparing documents, including office correspondence, memos, resumes, and presentations.
  • Track stock of office supplies and place orders when necessary.
  • Maintaining general office files and filing requirements, including job files, vendor files, and other files related to the company’s operations by keeping an organized file system.
  • Scan and upload documents onto the server.
  • Performing other relevant duties when needed.
  • Manage drivers and vehicles including licence renewals.
  • Executive support to the Managing Director.
  • Management of both supplier and customer orders and ensure orders are received or shipped in a timely and neat manner.
Desired Experience & Job Requirements:
 
  • Proven experience as a Bookkeeper and Office Administrator or similar role.
  • International trade and import & exports experience highly beneficial.
  • Good understanding of accounting and financial reporting principles and practices.
  • Ability to work well independently with integrity and with little to no supervision.
  • Be fluent and well spoken in both English and Afrikaans with good communication skills – both written and verbal.
  • Showcase eagerness and willingness to learn and grow with the company.
  • Excellent organizing abilities and exceptional attention to detail.
  • Proficient in a variety of computer software applications including Microsoft Office.
  • Comfortable handling confidential information.
  • Able to quickly learn and adapt to new software and processes.
  • Strong verbal, numerical, and written communication skills.
  • Strong process, planning, organizing, and record-keeping skills.
  • Superb organizational and time management abilities.
  • Detail-oriented (strong attention to detail), goal-oriented, and task-driven.
  • Ability to multitask and to work without supervision.
  • Reliability and honesty.
  • Ability to function well in a high-paced and at times stressful environment.
  • Willing to work flexible hours as and when required.
 
 
Qualifications:
  • Matric or Grade 12.
  • Associate degree in Accounting / Relevant Diploma / Relevant Certificate
  • Qualifications (ACA, ACCA, or CIMA) is a plus but not required.
  • BSc/Ba certificate in accounting, finance, or relevant field is a plus but not required.
  • A minimum of 3-5 years’ experience in similar roles.
  • Proficiency in using accounting software or ERP systems.
  • Advanced level Excel skills.
  • International trade and import & exports experience highly beneficial
