Key Responsibilities:
Performance Areas Include (but not limited to):

• Legal requirements: Advise management on legal requirements and ensure the same is incorporated into the safety system i.e. OHS Act and MH & S Act.
• SHEQ Policy / System: Compile, implement, maintain, train, communicate, assist and advise management regarding the SHEQ policy and systems.
• Reporting: Reporting on SHEQ statistics and performance actions through weekly, monthly, bi-annual and annual reports.
• Site visits and audits: Assist sites with the establishment of the SHEQ systems/policies, conduct internal and external audits and ensure corrective action is taken.
• Training: Provide training to management, SHE representatives, employers and monitor all SHE training throughout the group.
• Accident investigations: Investigate all lost-time accidents, monitor corrective action and ensure legal reporting thereof.

Successful candidates would require a minimum of 2 - 5 years' experience in any office environment and have the ability to engage with customers over the phone and face-to-face.

Responsibilities and Duties:

• Procurement from current and new suppliers.
• Track and trace all orders
• Manage and maintain product listings.
• Keep filing up to date including checking pods
• GRV and check orders
• Take off supplier payments on sage
• Invoicing
• Assist walk-in customers
• Managing top 40 customers
• Telesales to new and existing customers
• Daily filing on invoices and pods-check for queries
• Sample stock audit monthly
• Servicing existing clients
• All other duties as delegated by management
• Prepare POS on low stock with suppliers

Reports Weekly & Monthly:

• Top 40 client feedback on telesales-monthly
• Out of stock report on local suppliers- bi-weekly
• Track and trace - weekly

As a Warehouse Operations Administrator, you would be required to;

Oversee the management of stock within the organisation. This includes receiving, issuing and dispatching stock, and handling communication between freight companies and warehouse customers.
You would also be responsible for the data entry and inventory of all stock. This involves processing receipts, taking records and documenting the details of all orders. You would also be required to organise staff inductions, manage occupational health and safety procedures and book times for incoming deliveries. Assistance with general duties within the warehouse would be required at times.

Duties And Responsibilities 

• Job costing: Ensure that jobs have been costed correctly in that all expenses have been allocated correctly.
• Monitoring and closing of jobs: Manage the WIP list and ensure timeous closure of jobs.
• Extraction of job costing data: Pulling all costing data off of jobs for analysis reviews.
• Analysing of Costs: Determine cost variances and shortfalls per job and job type.
• Upkeep of costing database: Keep an up-to-date costing database for trend analysis and for future job predictions.
• Internal recoveries: Ensure each company invoices the correct value to the other and that everything has been taken into account and invoiced.
• Recoveries on jobs: Allocating the correct expenses on a job and ensure that any expense / stock on a job that is not applicable (recoverable) is correctly allocated to the correct section.
• Inventory valuation and control: Provide and maintain an up-to-date record of the inventory value taking the stock age, improvement and write-offs into account.
• Adhere to the company standards, policies and procedures as well as supplier standards at all times.
• Integrate quality into the business by ensuring that every supplier contact is a demonstration of absolute dedication towards providing first-time ideal solution for the satisfaction of our customer’s immediate and future needs.
• Ensure that the authority to approve internal documentation, procedures, rules and processes are maintained at all times.
• Ensure that effective communications systems are in place with all departments and mines to expedite the dissemination of information and provide for timely management reporting on a weekly basis.

• Ensure that the security both internally (as in safeguarding of confidential company information) and externally as in the content of customer relationships and components, products is maintained at the highest levels at all times Build an enthusiastic team through setting an example and having a participative approach.

• Maintain the highest standards of cleanliness in the workplace and at suppliers.
• Maintain safety standards by ensuring safe work methods and compliance with the company’s safety instructions and requirements at all times.
• Use the appropriate personal safety equipment and obey all the safety signs.
• Report processes or personnel that contravene safety, environmental standards and practices.
• Continuously develop and maintain yourself so as to keep abreast with new technology and developments in your line of duty within the Personal Development Plan discussed with their direct supervisor/manager.

Requirements 

• 3-year accounting articles experience essential. 
• Cost Accounting Certificate (If you have at least 5 years’ total experience); OR
• Cost Accounting Diploma (If you have less than 5 years’ experience)
• Computer literate and conversant with MS Office
• Business Central Software exposure is preferred but not essential.
