The Events Coordinator will assist with the rollout of strategic events, which includes various forums, webinars, conferences, workshops, business talks and exhibitions. The successful incumbent will be required to travel, work after hours and over weekends. Most events are rolled out at the Campus located in Sandton, however there may be travel within and outside of Gauteng for events from time to time.
The role also requires that the successful incumbent take a creative and flexible approach to Events Management. Strong communication skills and stakeholder management are essential.
The successful incumbent must have excellent communication, project management, and must be a strong team player. Candidates with both corporate and agency experience are preferred for this role.
Duties and responsibilities
- Sourcing speakers for webinars
- Implement the strategic events plan
- Maintain an up-to-date event calendar
- Liaise with internal and external clients to ascertain their precise event requirements
- Oversee all facilities requirements are met
- Ensure insurance, legal, health and safety regulations are adhered to
- Plan room layouts and the entertainment programme
- Manage resource requirements and briefings
- Liaise with marketing team to promote the event, including design of invitations, feedback forms and other material
- Ensure RSVPs for each event, pre-event and onsite communication with delegates are handled
- Ensure effective record keeping of costs and attendance associated with each event
- Post-event evaluation (including data entry and analysis and producing reports for event stakeholders)
Qualifications
- Minimum 2 years’ experience in events coordination
- Must have experience with Webinars
- Marketing qualification or in a related area and/or equivalent experience/training
- Driver’s license/own reliable transport
- Computer literate (Microsoft Office & Mac OS)
